Free CRM: which package stays usable as your team grows?
Compare free CRM systems on users, storage and features. Find out where free packages fall short and when a paid option pays off.
A free CRM can be enough for a small sales team. User limits, contact numbers and paid extensions determine how long that remains the case. Compare the conditions and calculate what a larger team will pay.
The real constraints of a free CRM
Software suppliers generally use a freemium model for free CRM systems. The aim is to let users get to know the basic functions, so that as their needs grow they move up to a paid licence. The limits differ per provider and can change.
When investigating software within the CRM system category, five functional limitations are decisive for day-to-day practice:
- User limits: Several free editions allow only one or two users, so collaboration within a team is not possible without an upgrade.
- Contact and storage limits: As soon as your database exceeds a certain number of contacts or attachments, an upgrade may be needed. Ask how the supplier handles an overrun.
- Email integration: Two-way synchronisation with Microsoft Outlook or Gmail is often missing from free versions, so you have to copy communication manually.
- Workflow automation: Check separately which follow-up tasks, reminders and automatic emails are available. A simple task notification is something different from a complete automatic sales sequence.
- Export restrictions: Some providers limit export options, which makes moving to another system harder if you want to migrate.
Which free packages can you investigate?
HubSpot: two users and 1.000 contacts
The official free price table from HubSpot lists a maximum of two users and 1.000 contacts. Free access has no fixed end date. Email integrations with Gmail and several Outlook versions are also described. Check separately the limits of the marketing and sales functions you want to use.
Salesforce Free Suite: two users with an activity condition
According to Salesforce Nederland, Free Suite is free for a maximum of two users. According to the published conditions you must log in at least once every sixty days. A third colleague is therefore a concrete reason to compare a paid package. Include that colleague in your cost calculation before you import your whole administration.
Also compare a paid alternative
Include SpinOffice CRM and SuperOffice as comparison candidates when you need more support, email management or collaboration. This mention is not a claim that all the functions you want are free. Have a proposal drawn up for your number of users and compare it with the free packages and the next paid step.
How to test whether free remains sufficient

Use fictional contacts for the first trial. Also check whether a new employee can take over existing files when a colleague leaves. A limit that looks generous enough today may become relevant at the first staff change.
When is paying cheaper?
Count licence costs and the management time actually needed. Set an estimated revenue increase aside separately; a reminder does not guarantee a won assignment.
Fictional example: three employees each spend an hour and a half per week on manual file work, for 48 weeks. That is 216 hours. At an internal rate of €40 that effort costs €8.640. Suppose a paid package reduces the time needed to half an hour per person per week: 72 hours, or €2.880. Three licences at a fictional €35 per month cost €1.260 per year. The total cost in that second situation is €4.140.
In these assumptions the difference is €4.500 per year, before set-up and training. That is not a forecast for your business. First measure how many actions the trial actually removes. If the same manual steps remain, paying does not deliver that saving.
Data ownership and export options
Before you start using a free CRM, you need to check how easily you can export your data. Some systems export only basic contacts to a CSV file, while conversation notes, task history and document attachments are not included in the export file. This creates a risk of lock-in: switching to another package then takes a lot of time because historical interactions are in danger of being lost. So check in advance whether a complete backup of all data fields is possible.
Stay or move up?
Stay with a free package as long as your team fits within the limits and can carry out the main tasks. A freelancer with a few dozen customers has different needs from a team that processes many new leads every day. Make the switch based on a concrete limitation, not because a more expensive package has more features on a list.
