Choosing an ERP system: what to look out for?
An ERP system connects finance, purchasing, inventory, production, projects and personnel in one administration. The choice is only partly about features. Implementation and how well the package fits your industry are at least as important. Look out for these points.
On SoftwareWatcher you compare 33 ERP system packages. 15 offer a free trial account. The lowest price indication starts at €35 per month.
- Your processes first: write down which processes the system must support and where things currently go wrong. Then you compare packages on what you need rather than on long feature lists.
- Industry: a wholesaler needs stock locations, batch numbers and order picking, a manufacturer needs bills of materials and production planning, a service provider needs projects and hours. Many suppliers have a version per industry.
- All-in-one or integrate: one package for everything is clear, but separate specialist packages with good integrations may fit better. Read all-in-one versus best-of-breed.
- Integrations and data: ask which integrations are standard, whether there is an open API and how you export your data if you want to switch later.
- Implementation: ask who does the set-up, how the data from your current system is transferred and how much time your own people have to put into it.
- Reports: check whether you can get management information such as margins, inventory value and work in progress out of the system without reworking everything in Excel.
- Costs over several years: add up licences per user, modules, implementation, training and maintenance.
Frequently asked questions about ERP systems
What does an ERP system cost?
That depends on the number of users, the modules and above all the implementation. The latter often costs more than the licences in the first year. Read what an ERP system costs.
Do I need an ERP or a CRM?
A CRM supports sales and customer contact, an ERP the execution and administration behind it. Many companies use both, with an integration. Read CRM or ERP.
How long does an ERP implementation take?
For a small company with a standard package a few weeks, for a medium-sized company with customisation and integrations quickly a few months. Allow time for testing with your own data.

What is an ERP system?
To determine whether you need an ERP system, it is first important to know what an ERP system is: ERP stands for Enterprise Resource Planning. An ERP system integrates all the important business processes, from customer relationship management (CRM) and project management to inventory management, HR and finance. Because everything runs from one system, the processes fit together well. Information is stored centrally in one database, which is handy for everyone in the company.
Benefits of an ERP system
- Uniform way of working: Everyone uses the same system, which makes it easy to work in the same way.
- Seamless integration: Because everything runs through one system, different business processes work well together.
- Central data storage: All information is in one place, which makes creating reports easier.
Drawbacks of an ERP system
- Time-intensive: Implementing a complete ERP system takes a lot of time, especially because it has to be tailored to the business.
- High costs: Because of the time and effort needed to get the system working, the costs are high.
- Process dependency: Changes in one process can cause problems in other processes.
- Supplier dependency: You depend on a single software supplier.
What types of ERP systems are there?
There are various types of ERP systems. For instance, there are systems aimed primarily at managing and carrying out projects, while other ERP systems are intended mainly for the production of goods and the management of inventory. To explain this better, we have listed a few examples below:
What are examples of ERP systems
ERP systems with production features
These ERP systems are designed to help manufacturers plan, carry out and manage production efficiently. They offer features for managing orders, production schedules and monitoring production progress.
ERP systems with project management features
These ERP systems are suitable for carrying out projects. Important tools for this are planning, time tracking and progress analyses. This is particularly useful when you have to manage many projects at the same time.
ERP systems with inventory features
These ERP systems help companies manage stock levels. They include features for inventory planning, purchasing management and order processing.
What is the best ERP?
You choose the best ERP system based on your specific preferences, because every organisation has different requirements, wishes and its own size. In addition, ERP systems differ from one another and suppliers often target different audiences with their software.
With our selection guide you can easily find the system that suits your business. By answering a few simple questions, our algorithm helps you find the ERP system that is right for you.
How expensive is an ERP system?
ERP systems are often very flexible in what they can do, but adapting and making optimal use of these systems usually takes a lot of time and money. Specialists or consultants are often needed to get everything working properly. The system also requires regular maintenance because of its many features.
The cost of an ERP system can vary greatly, depending on various factors such as the size of the company, the complexity of the business processes, and the features required. For small to medium-sized companies the costs can range from a few hundred to thousands of euros, while for large enterprises the investment can run to hundreds of thousands of euros.
The basic components of the total cost include licence costs (for the software itself), implementation costs (including customisation and configuration), and recurring costs for support and maintenance. In addition, there may be costs for the necessary hardware and for training users.
