What does a POS system cost? Checked prices of 8 POS systems, hardware and card fees, and worked examples for a shop and a hospitality business.

With a POS system you pay for software, hardware and every card payment. We list the prices of eight POS systems, show which costs are easy to overlook and work out a shop with one till and a hospitality business with four.

What does a POS system cost, in short?

On 1 October 2026 we went through the pricing pages of eight POS systems. Together they show thirteen plans. The software costs €0 to €999 per month. That wide range comes from three packages that combine till, webshop and stock for several locations. Eight of the thirteen plans cost between €29 and €90 per month; the middle plan costs €69.

With a till, the software is only part of the bill. You also pay for hardware, such as a tablet or till screen, receipt printer, cash drawer and card terminal, and for every card payment. In a busy business those transaction fees are often higher than the subscription. All amounts exclude VAT unless we say otherwise.

We only include prices that the supplier publishes itself. Note the difference between a price per till, per location and per number of devices.

What the price of a POS system depends on

  • Number of tills and devices: some suppliers charge per till or licence, others per plan with a maximum number of devices. Also count tablets for table service and screens in the kitchen.
  • Industry: hospitality needs tables, kitchen tickets and tip registration; retail needs stock, barcodes and loyalty cards. A till for one industry can be cheaper than a package that does everything.
  • Modules: inventory management, online ordering, a webshop, loyalty programmes and integrations with accounting often cost extra.
  • Buying or renting hardware: if you buy hardware, you pay a few hundred euros per till once. If you rent, it is part of a higher monthly amount, as with Onlinefact's rental bundle.
  • Payment solution: a till with its own card terminal often charges a percentage of the amount. A separate payment provider usually charges a fixed amount per transaction.

Costs you easily forget

  • Transaction fees: 1,49% of €20.000 in card payments per month is €298. At €0,055 per transaction you pay €110 for 2.000 card payments, plus the transaction agreement.
  • Internet and a backup: a cloud till needs a stable connection. Optimum POS, for example, offers a 4G backup for €30 per month.
  • Online orders: some suppliers charge per order for orders placed through an app or website. With Optimum POS that is €0,25 to €0,50 per order.
  • Installation and training: entering your product range, table layout and VAT rates takes time. Ask whether the supplier does this and what it costs.
  • Contract term: check the notice period of the till and of the card payment agreement. They can differ.

Worked example: a company with 5 and with 50 employees

We work with two fictional businesses at one location. The shop with five employees has one till. The hospitality business with fifty employees works with four tills or ordering stations. We only take the monthly amount for the till software; hardware and payment costs are discussed below.

In this example the shop pays €348 to €1.068 a year for till software. If it buys a SumUp till, a one-off €399 for the hardware comes on top. The hospitality business pays €1.080 to €3.312 a year. Tilli Kassa Pro is good value here, because the plan covers up to twenty devices. For both businesses, add the card fees: they depend on your turnover and number of payments, not on the number of employees.

Many POS suppliers put together a package of hardware, software and a payment solution. Ask every supplier for the same items:

  • the number of tills, tablets, kitchen screens and card terminals;
  • whether the hardware is bought, rented or on loan;
  • the transaction fees per debit card payment and per credit card payment;
  • the modules you need, such as stock, online ordering or a webshop;
  • the cost of installation, training and support outside office hours;
  • the contract term and notice period of the till and the card payment agreement.
