Choosing a quality management system: what to look out for

A quality management system (QMS) records how you work and shows that you stick to it. Many organisations use it for ISO 9001, but also for standards such as ISO 14001, ISO 45001, VCA or HKZ. Choose a system that employees really use, not just the quality manager. Pay attention to these points.

On SoftwareWatcher you can compare 8 quality management system packages. 4 offer a free trial account.

  • Document management: procedures, work instructions and forms are in one place, with version control and recorded approval. Employees always see the current version.
  • Processes: describe processes with steps, roles and risks, so that new employees know how the work is done.
  • Deviations and complaints: reports of complaints, incidents and deviations come in via a form and are followed up with a cause and a corrective measure.
  • Improvement: improvement proposals and actions get an owner and a deadline, so that in an audit you show that you complete the improvement cycle.
  • Audits and inspections: schedule internal audits and inspections with fixed checklists, also on a tablet or phone on site.
  • Tasks and roles: check whether you can assign tasks and whether external parties such as suppliers or an auditor can look along with their own login.
  • Reports: an overview of open actions, complaints and audits makes the management review a lot easier.

Frequently asked questions about quality management systems

Do I need software for ISO 9001?

No. The standard does not prescribe software, but it does require you to manage documents and record improvements. With software you keep track of that without loose folders and spreadsheets, and you are ready for an audit faster.

What is the difference with a document management system?

A DMS stores documents and manages versions. A QMS adds processes, reports, actions and audits to that. Also read what a DMS is.

Can I take over my existing procedures?

Usually yes. Most systems import existing documents. Use the switch to clear out outdated procedures and appoint owners.
