Choosing a POS system: what to look out for

A POS system has to work without a hitch on a busy day. What else you need differs from business to business: a restaurant works with tables and orders, a shop with stock and barcodes. Pay attention to these points.

  • Hospitality or retail: hospitality needs a table floor plan, split bills, tickets for the kitchen and bar, and ordering via a QR code. Retail mainly needs barcodes, stock per location and returns.
  • Card payments: check which payment terminals work (for example CCV, Worldline or SumUp) and whether the amount is sent to the terminal automatically.
  • Working offline: if the internet goes down, you must be able to keep taking payments, and the sales are synchronised later.
  • Inventory and webshop: if you also sell online, choose a system in which the POS and the webshop use the same stock.
  • Delivery and collection: in hospitality, a link with delivery platforms saves retyping orders.
  • Staff: logging in per employee, permissions for discounts and returns, and possibly rota and hours in the same system.
  • Administration: daily takings must go to your accounting software per VAT rate. The Dutch Tax Administration (Belastingdienst) expects your till data to be complete and verifiable and that you keep it for seven years.
