Compare leave management software
With leave management software, employees request leave online and the manager approves or rejects it with one click. The leave system calculates the balance itself: statutory and above-statutory holiday days, ADV (working-time reduction) days, overtime and special leave. In a calendar you see who is off and when, and whether staffing is still right. This way you replace the Excel list, the loose emails and the leave slips. It is there for any company with staff, from a team of five to an organisation with hundreds of employees.
Standalone leave app or part of an HR package?
The first choice is how broad you want it to be. A standalone leave management app does one thing: requesting, approving and tracking leave. Examples are Rework, Vrijedagen, Verlofdagen.nl, Verlof.io and Timetastic. You can usually set up a leave planner like this quickly. If your team works in Microsoft Teams or Slack all day, there are packages that run inside them, such as absentify and Vacation Tracker.
If you also want to handle personnel files, contracts and onboarding, leave is already included in HR software such as HoorayHR, Personio and BambooHR. If you work with rosters, a holiday planner for staff within planning software such as Deputy is handy: you then won't schedule anyone who is off.
What should you look out for?
- Leave types and rules: check whether the package can handle your collective labour agreement (cao): accrual by contract hours, part-timers, ADV, the expiry period of statutory holiday days and carrying a balance over to a new year.
- Use on the phone: see whether employees can request leave and see their balance in an app, and whether you can also approve there as a manager.
- Integrations: leave that appears automatically in Outlook or Google Calendar saves you having to ask around. Also ask whether the holiday days registration can go to your payroll system, with an export or an integration.
- Pricing model: most leave software is billed per employee per month. Watch out for a minimum amount, one-off costs, an annual contract and modules that cost extra, such as absence or a second language.
