Compare business email
With business email you send email from your own domain name, such as [email protected], rather than from a free personal address. A business email address belongs to the company: if a colleague leaves, you keep the mailbox and the messages. A business mailbox usually also comes with a calendar, contacts, a spam filter and user management. Business email is for the freelancer with one address and for organisations with hundreds of mailboxes.
Email hosting or an email client?
This page lists two kinds of packages. With email hosting you rent the mailboxes: the provider stores your email and handles sending and receiving. Examples are Microsoft Exchange Online, Zoho Mail, Proton Mail and Fastmail. Tuta Mail, mailbox, Mailfence and the Dutch services Soverin and StartMail emphasise privacy and encryption. Business email is also often included in an office suite such as Microsoft 365, or in your web hosting package.
An email client such as Outlook or Thunderbird has no mailboxes of its own. You connect the email you already have to it and so read all your accounts in one place.
What should you look out for?
- Own domain: check whether email with your own domain is included in every plan or only in a more expensive package, and how many domains and aliases such as info@ you may create.
- Price and storage: most providers charge an amount per user per month. Check how much storage each mailbox gets and how much you save by paying annually.
- Privacy and security: pay attention to which country your email is stored in, whether there is two-step verification and whether you can encrypt messages.
- Switching: ask whether your existing email, calendar and contacts move with you and whether you can keep using your own email client.
